Terms and conditions

The terms of the service.

These terms apply to every job. They cover businesses and consumers. Where a clause is for consumers only, it says so. A consumer is someone who buys the service outside their trade, business, craft or profession.

  1. 01Who you are dealing with

Carlo Albertoli, trading as WORDR, a sole trader at 25 Middle Way, Lewes, East Sussex, BN7 1NJ, United Kingdom. Email: info@wordr.org. In these terms, WORDR means that business and you means the client.

  2. 02The service

You send a recording. You get two documents: a clean transcript, and the full text reorganised under the chapters, themes or sections you choose.

WORDR uses language models. A person reviews everything.

  3. 03Free sample

You may send a recording of up to 30 minutes, with your organising criteria, for a free sample. WORDR aims to return the sample within 72 hours, which is an estimate and not a guarantee (clause 07). The sample carries no obligation to buy.

  4. 04Quotes and the contract

Before any paid work, WORDR sends a quote that states the scope, the price and the expected delivery time. The contract is made when you accept the quote by email. Work begins only after scope and price are agreed.

  5. 05Price and payment

Prices are in pounds sterling. The quote states the total price you pay and the terms of payment.

  6. 06Your content and your promises

By sending material you confirm you have the right to upload and process it, you've got the permissions needed from the people in it, and your use of the service is lawful.

Recordings may contain personal or sensitive information. You confirm you have a lawful basis for WORDR to process it on your behalf.

Don't send material that infringes IP, breaches privacy or confidentiality, or is unlawful.

  7. 07Delivery times

Delivery times are estimates. They are agreed in the quote and are not guaranteed.

  8. 08Accuracy, and your review

WORDR is built to catch the things language models get wrong, and a person reviews every output. But no output is guaranteed error-free. It's not a substitute for your own eyes.

Check the documents before you use them.

  9. 09Corrections and refunds

One round of corrections is included. If the output doesn't match your material or the agreed structure, ask for corrections or a refund. WORDR assesses these in good faith.

This clause is in addition to your legal rights.

  10. 10Your right to cancel (consumers)

If you are a consumer, you have the right to cancel the contract within 14 days without giving a reason. The 14 days start on the day the contract is made.

10.1To cancel, tell WORDR clearly by email to info@wordr.org. Any clear statement is enough.
10.2WORDR will not start work within the 14 days unless you ask it to. Before it starts, WORDR will ask you to confirm by email that you want work to begin within the 14 days, and that you understand you lose the right to cancel once the service has been fully performed.
10.3If you asked for work to begin and then cancel within the 14 days, you pay an amount in proportion to what had been provided when you told WORDR you were cancelling, compared with the full contract.
10.4If the service is fully performed within the 14 days, after you made that request and confirmation, you can no longer cancel.
10.5If you cancel, WORDR will refund what you have paid, less any amount due under 10.3, without undue delay.
  11. 11Ownership

Your material stays yours. When you've paid in full, you get all rights WORDR has in the transcripts and structured documents made for you. WORDR doesn't claim your content and doesn't reuse it.

  12. 12Confidentiality

Everything you send is confidential. WORDR uses it to do the job and nothing else.

  13. 13Data processing terms

These terms apply to the personal data in the recordings and documents you send. They are the processing terms required by Article 28 of the UK GDPR and of the EU GDPR.

13.1Roles. You are the controller. WORDR is the processor.
13.2What is processed. WORDR transcribes and structures the recordings you send. The processing lasts until the job is approved and the files are deleted. The data is whatever the recordings contain, which may include sensitive categories, about the people who speak or are mentioned in them.
13.3Instructions. WORDR processes the data only on your documented instructions, which are the quote and your emails, unless the law requires otherwise. If WORDR thinks an instruction breaches data protection law, it will tell you.
13.4Confidentiality. Anyone authorised to process the data is bound to confidentiality.
13.5Security. WORDR applies appropriate technical and organisational measures, including restricted access and secure storage.
13.6Sub-processors. You give general authorisation for the providers listed in clause 08 of the Privacy notice: OpenAI, Anthropic, Google, Cloudflare and Unlimited Web Hosting UK Limited. WORDR will tell you before adding or replacing one, and you may object. WORDR binds each sub-processor to data protection obligations equivalent to these.
13.7Transfers. Transfers outside the UK and the EEA are made on the safeguards described in clause 09 of the Privacy notice.
13.8Help. WORDR will help you respond to requests from the people whose data is in your recordings, and with your own obligations on security, breaches and impact assessments.
13.9Breaches. WORDR will tell you without undue delay after becoming aware of a personal data breach affecting your content.
13.10Deletion. Once you approve the job, WORDR deletes the recordings, transcripts and documents, unless the law requires it to keep them.
13.11Compliance. WORDR will give you the information needed to show that it complies with this clause, and will allow reasonable audits.
13.12No other use. WORDR does not use your content for training, analytics or any purpose other than your job.
  14. 14Liability
14.1Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else the law does not allow to be limited.
14.2If you are a consumer, WORDR must provide the service with reasonable care and skill, and nothing in these terms affects your rights under the Consumer Rights Act 2015. WORDR is responsible for loss you suffer that is a foreseeable result of its breach of these terms or of its negligence. It is not responsible for loss that was not foreseeable.
14.3If you are a business, WORDR is not liable for indirect or consequential loss, or for decisions you take on the basis of an output. Its total liability is limited to the amount you paid for the service.
  15. 15Complaints

Write to info@wordr.org. WORDR will respond in writing. Complaints about personal data follow clause 12 of the Privacy notice.

  16. 16Governing law

These terms and any dispute about them are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.

If you are a consumer, this does not take away the mandatory consumer protections of the country where you normally live, nor any right you have to bring proceedings in the courts of that country.

  17. 17Changes to these terms

WORDR may update these terms. Your job is governed by the version in force when you accepted the quote.

  18. 18How the service is described

Words like sanitised and disinfestation describe what WORDR aims to do — find and reduce errors. They're not a guarantee.
